AI agents for business: a practical guide

An AI agent combines a model with selected information and actions. Before building one, check whether the workflow needs model judgment at all, then define permissions, human review and a safe failure path.

Choose one bounded business task

Start with a repeated task that has a clear input and a measurable next step: classify an incoming request, find an approved policy answer or prepare a draft for an operator. Name the person responsible when the system cannot finish.

Do not begin with unrestricted access to email, customer records or financial actions. Give the agent only the tools and data needed for its assigned task.

Use ordinary automation where it is enough

If every input follows a fixed rule, an n8n or Zapier workflow may be easier to test and maintain. A model can help where language varies, documents need interpretation or an operator needs a prepared draft. Keep deterministic checks around any model output.

A practical enquiry flow might classify a message, prepare a reply from approved information, ask a person to review it, then record the approved result in a CRM. The agent should not promise a booking or send an unreviewed commitment.

Define access, approval and fallback

  • List each data source and who may read it.
  • Limit each available action and record what was requested.
  • Require approval for external messages, purchases or irreversible changes.
  • Show a useful handoff when sources conflict or no supported answer exists.
  • Set usage limits, retention rules and a way to stop the workflow.

For a document assistant, test relevant sources, missing answers, outdated content and a user who should not see a restricted record.

Test with realistic cases before release

Collect representative examples and expected outcomes. Include confusing requests, absent information, unavailable connected services and permission failures. Review both the model response and any action it proposes. Keep a human operator in the loop until the workflow meets agreed acceptance criteria.

Provider choices can include OpenAI, Claude, Gemini or a self-hosted option such as Ollama. Compare the required capabilities, data boundaries, hosting and operating cost for the actual project.

Plan a small AI application

Write down the user, trigger, permitted data, available tools, approval point, fallback and success measure. Then scope the smallest application that can be evaluated with real examples.
